6 Things You Need to Know About Email Compliance Before It's Too Late

Email compliance regulations and laws such as Sarbanes-Oxley(SOX), Gramm-Leach-Bliley, HIPAA and the Federal Rules of Civil Procedures have forced organizations to know more about the information stored in their systems than ever before. In order to comply with these rules and requirements, organizations need to have an understanding of the breadth and depth of their information stores and establish preservation policies, archive locations, search methods and deletion procedures to properly manage this information in the eyes of the government and courts.

Is your organization dealing with compliance in the right way? IT organizations often find themselves diverting precious staff time and operating budgets away from growth, supporting initiatives to reactive activities every time they need to produce the audit trails.

You are invited to join email compliance experts for this one-hour seminar to learn how IT departments are affected by compliance requirements and what they can do to be more effective. To shed light on this complicated issue, we will help you answer the following questions so you can get started planning your compliance strategy:
  • Who - Who needs to be aware and involved?
  • What - What regulations affect your organization?
  • When - Proactive or Reactive?
  • Where - Where should your data be stored/secured?
  • Why - Why is this important for your organization?
  • How - How can you employ the latest technology?

This educational seminar will supply you with guidelines to effectively develop procedures and implement the tools for enforcement of policy, because the time you spend now could reap benefits in the form of efficiency, risk reduction and the avoidance of penalties. Email Archive Migration Presents New Opportunities for Storage Savings

The New Release of TransVaults Email Archive Migration Software, Enables Comprehensive yet Safe Data Purge as Organizations Move to a New Archive.

TransVault Software (TVS) has today announced version 5.1 of its industry leading email archive migration software. The new version includes advanced filtering capability to help organizations reduce storage overheads as they migrate to new archive platforms such as Microsoft Exchange 2010.

“Many first generation archives lack granular storage management, so IT departments err on the side of caution and keep data longer than they need to rather than risk deleting items users still want”, explains TVS managing director, Barney Haye.

Version 5.1 of TransVault now offers selective migration based on many different criteria, including date, sender and recipient, subject contents, attachments, distribution list members and so on. It also has sophisticated shortcut processing, so for example, if an end user previously deleted a shortcut to an archived item, TransVault gives the option not to move this item to the new archive.

According to Haye, “Moving data between archives is analogous to moving house. It’s a heavy duty one-off task that is always good to get the professionals in to do. As well as making short work of the migration process (and not dropping anything), our TransVault partner network can now give organizations much better visibility into what they have accumulated over the years -- along with the opportunity to have a comprehensive clear out along the way.

Done properly, the costs involved in moving to a new system can quickly be recovered. Even where legislation dictates that emails cannot be deleted, next generation archive systems offer significantly improved storage models which can result in up to 50% savings straight off.”

Archive Attender is Undergoing a Re-Design

Archive Attender is currently undergoing a re-design aimed at making the product more scalable and extensible. A core portion of this effort involves developing multiple Archive Attender services that will communicate with one another using a service oriented architecture facilitated by the Windows Communication Foundation. Implementing multiple services is going to improve the overall performance of Archive Attender and make it easier to implement new features (perhaps cloud based storage could be in the works). Along with the new service architecture, we plan to offer a web based console that will permit administrators to control and monitor the application from anywhere with an Internet connection.

If you plan on attending Microsoft TechEd (June 6-10 in New Orleans) this year, please plan on visiting Sherpa Software at booth #2541 for a preview of Archive Attender 4.0.
